When was it last serviced, and who did the work? Keep the answer in one place.
Filters, warranty dates, the plumber who came out last year: settling into a home means a lot to remember, and the details end up scattered across emails, drawers and phone notes. This free spreadsheet is designed to keep them together and show what’s due next, based on the dates you enter.

The answer is usually somewhere. Finding it is the hard part.
Something stops working and you need the model label, the warranty end date and the number of whoever fixed it last time. Or you’re booking a service and can’t remember when it was last done. When the records are spread out, every small job starts with a search.
The Home Maintenance Log gives each kind of record its own tab. Fill it in once, add a line after each visit, and it’s there the next time you need it.
What changes when you use it
- See what’s due at a glance. Enter how often a task happens and when it was last done; Next due and Status fill in for you.
- A history you can look back on. Log each visit with the date, a work summary, the provider, the cost you paid and an invoice reference.
- The right contact when you need it. Keep the trades and services you choose in one list, and mark your preferred ones.
- Appliance and warranty details together. Install date, your own model label, where the manual is kept and the warranty end date for each item.
- Paperwork you can find. A documents index notes where each manual, invoice or packet is stored, on paper or on your computer.
- Your schedule, not ours. No default intervals are filled in. You enter your own, from your manuals or your professionals.
A look inside
| Task | Frequency (months) | Last done | Next due | Status |
|---|---|---|---|---|
| Replace HVAC filter (owner schedule) | You enter | You enter | Calculated | Overdue, Due soon or OK |
| Test smoke / CO detectors (owner check) | You enter | You enter | Calculated | Overdue, Due soon or OK |
| Gutter clearing appointment | You enter | You enter | Calculated | Overdue, Due soon or OK |
Next due is your last-done date plus the frequency you set. Status shows Overdue, Due soon (within 30 days) or OK, and the sheet highlights the first two. Both stay blank until you’ve entered your own dates.

Is it for you?
A good fit if you…
- have recently moved in and are setting up your home records
- own or rent and want one place for service visits and contacts
- share a home and want everyone to find the same information
- prefer a spreadsheet to another app or account
Probably not for you if you…
- want repair instructions or advice on how often to service things
- need a safety inspection. Use a licensed professional for gas, electrical, structural or safety work
- want reminders pushed to your phone
- want somewhere to keep alarm codes or passwords. The log isn’t designed for that
Questions before you download
Is it really free?
Yes. There’s no account to create, no email signup and no payment details. Click the button and the file downloads to your device.
Will it remind me when something is due?
It doesn’t send notifications. When you open the file, Status shows Overdue, Due soon or OK for each task, based on your own dates.
Does it tell me how often to service things?
No. No default intervals are supplied. Enter your own, from your manuals, the manufacturer or a professional.
Can I use Google Sheets?
Yes. Upload the .xlsx to Google Drive and open it with Google Sheets, or import the CSV pack. CSV files store the formula text rather than live results, so the .xlsx is the better choice for Next due and Status.
Is this repair or safety advice?
No. It’s an organizer for your own records. Use a licensed professional for gas, electrical, structural or safety work.
How was it made?
Made with AI tools and checked by our automated review before publishing. Sample names and contacts are fictional.
